Maintain a repeatable inspection process

Entrances, stairs, handrails, sidewalks, flooring, mats, lighting, snow and ice, leaks, construction areas, and elevation changes can create different hazards. A consistent process should identify the area, time, observer, condition, action, and completion evidence.

Record work accurately

  • When the condition was observed
  • Where it was located
  • Photographs or video when appropriate
  • Temporary warning or access control
  • Assigned repair or vendor
  • When work was completed
  • Who verified the result

Respond to an incident without rewriting history

Protect people first. Preserve the scene and relevant records, notify appropriate parties, and follow policy reporting requirements. Do not alter logs or state conclusions about fault that have not been established.

Insurance is not the maintenance program

Coverage may respond to certain allegations subject to policy terms, but it does not replace safe operations, documentation, or qualified legal and risk-management advice.
